Privacy, terms and cookies.
The short version: your data is yours, we only use it to run the service, and this website doesn't track you.
Privacy notice

Who we are
Ubique HQ Ltd ("Ubique", "we") is a company registered in England and Wales. For data you give us directly, such as through this website, we are the data controller. For the customer and property data you store in Ubique, you are the controller and we process it on your behalf. Contact: privacy@ubiquehq.co.uk.
What we collect
- Contact details you send us: your name, business name, email, phone number and message.
- Account details when you sign up: user names, email addresses and billing details. Card details are handled by our payment provider and never stored by us.
- Business data you add to Ubique: your customers, properties, jobs, certificates, photos and invoices.
- Basic technical logs, such as IP address and browser type, kept for security and kept for no longer than 30 days.
How we use it
We use your data to provide and support the service, to bill you, and to reply to you. Our lawful bases under UK GDPR are contract (running your account), legitimate interests (security and replying to enquiries) and legal obligation (tax and accounting records). We don't sell data and we don't use it for advertising.
Who we share it with
Only the suppliers we need to run Ubique: hosting, email and text message delivery, and payment processing. Each is bound by a data processing agreement. Data is stored in the UK and EU. Where a supplier is outside the UK, we rely on UK adequacy regulations or the UK International Data Transfer Agreement.
How long we keep it
For as long as your account is open. After you close it, we delete your business data within 90 days, except invoices and billing records we must keep for six years for HMRC.
Your rights
You can ask to see, correct, export or delete your personal data, or object to how we use it. Email privacy@ubiquehq.co.uk and we'll respond within one month. If you're unhappy with how we handle your data, you can complain to the Information Commissioner's Office.
Terms of service
Last updated: 18 October 2026
The service
Ubique is job management software for trade businesses. These terms apply between Ubique HQ Ltd and the business that opens an account. By using Ubique, you agree to them on behalf of that business.
Trials, billing and cancelling
The free trial lasts 14 days. Paid plans are billed monthly or yearly in advance, in pounds sterling, plus VAT. You can cancel at any time from your account settings. Cancellation takes effect at the end of the period you've paid for and we don't give partial refunds, except where the law requires it.
Your responsibilities
Keep your login details safe and make sure your team does too. You're responsible for the data you add and for having a lawful basis to store your customers' details. Certificates created in Ubique are records of your work: you remain responsible for the work itself, for your trade registrations and for the accuracy of what you record.
Our responsibilities
We'll provide the service with reasonable skill and care, keep your data secure and back it up daily. We aim for 99.9% availability and tell you in advance about planned maintenance.
Liability
Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else that can't be limited by law. Otherwise, our total liability in any 12 months is limited to the fees you paid us in that period, and we're not liable for loss of profit or indirect loss.
Changes and law
We'll give you at least 30 days' notice by email of any material change to these terms. These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction.
