Getting started
How long does it take to onboard a hire?
Adding the hire takes about fifteen minutes. The contract is generated the same day and can be signed within hours. Registration with the tax authority and social security takes one to five business days in the 40 countries Ubique runs itself, and one to three weeks in partner-served countries. Plan on a start date at least ten business days out in a Ubique-run country and three weeks in a partner country, and your hire will have a local payslip from the first payroll.
What do I need to add a new hire?
Role title, gross salary, start date, country and work location, and whether the role is full-time or part-time. The dashboard then asks for anything country-specific: in Germany a health insurer preference, in the UK a pension opt-in, in Brazil a CPF. The hire uploads their own identity document and bank details through a secure link, so you never handle them.
Which countries can I hire in?
Employment in 160 countries and contractor payments in 200. Ubique runs its own entities in 40 countries; the rest go through vetted partners. Each country page says which. A handful of sanctioned jurisdictions are excluded, and a few countries require the employee to hold a work permit we cannot sponsor; the country page says that too.
Can I try the platform before I commit?
There is no self-serve free trial, because onboarding an employee creates real legal obligations. You can use Ubique Atlas, Ubique Calculator and the Misclassification Risk Check for free without an account, and a demo walks through a real onboarding in a sandbox workspace. Contractor Management has no minimum term, so starting with one contractor is a low-risk way in.
Employees and contracts
What language is the contract in?
The local language where the law requires it, with an English version alongside. In Germany, France, Spain, Poland, Brazil, Japan and most other non-English countries the local-language version is the legally binding one. In a few countries, such as the Netherlands and Singapore, English alone is acceptable and that is what we use unless you ask otherwise.
How do I change a salary or a title?
From the employee's profile, choose "Amend contract", enter the change and the effective date. Ubique generates an amendment in the right form for the country, sends it for signature, and applies it to payroll from the effective date. Changes entered before the payroll cut-off (the 15th in most countries) appear in that month. Salary reductions and changes to working hours need the employee's agreement in nearly every country and may need consultation; we flag that at the point of entry.
Who sets probation and notice?
By default, Ubique applies the maximum legal probation and the statutory notice for the country. You can shorten probation or lengthen notice when you add the hire. You cannot go below statutory notice or above the legal probation maximum, and the dashboard will not let you. Where a collective agreement sets different terms, those apply.
How does offboarding work?
Start it from the employee's profile with the intended last day and the reason. The local team checks the reason against local law, tells you what notice and severance apply, and whether anything else is required, such as a consultation, a works council notification or a settlement agreement. Outside the US and a few other at-will jurisdictions, dismissing without a valid reason is not possible, and we will tell you that rather than attempt it. Final pay, accrued leave and documents are handled through the last payroll.
Payroll and invoicing
When are employees paid?
On the customary payday for the country, usually the 25th to the last business day of the month, in local currency to a local bank account. A few countries pay twice a month, and some require it; the dashboard calendar shows the dates per country. Payslips are published in the employee's portal the day funds are sent.
What is on my invoice?
One invoice a month, in your billing currency, with one line per employee or contractor: gross salary, employer contributions, any benefits or expenses, and the Ubique fee, each shown separately. The invoice is issued around the 10th and is due before payroll funds are released, usually on the 20th. Enterprise customers can be invoiced per entity or cost centre. Exchange rates are shown on the invoice when a salary is paid in a different currency from your billing currency.
Which currencies can I pay in?
Employees are paid in the local currency of their country, which is a legal requirement almost everywhere. Contractors can be paid in any of 100 currencies. You can be billed in GBP, EUR, USD, CAD, AUD or SGD.
What happens if a payslip is wrong?
Tell your account manager or support, and we acknowledge within one business hour. If the employee was underpaid, we send an off-cycle payment the same or next business day in Ubique-run countries, and within two to three days in partner countries. If the error was ours, Ubique covers bank charges and any penalties. Overpayments are recovered from the next payroll in instalments the employee agrees to. A written root cause follows within five business days. Our error rate over the last twelve months was 0.21 percent of payslips.
Contractors
How are contractors paid?
The contractor submits an invoice through their portal, or you set a fixed monthly amount. You approve, and Ubique pays in any of 100 currencies to 200 countries, usually within two business days of approval. You fund the payment and the £29 monthly fee on a single invoice. Contractors can also submit expenses and see their payment history in the portal.
What does Ubique Shield cover?
If a contractor you manage through Ubique is reclassified as an employee by a court or authority, Ubique Shield covers the back contributions, penalties and legal costs, up to the policy limit, provided the contractor's risk score was green or amber at the time and you followed the recommendations attached to it. It does not cover contractors you kept on a red score without acting, or relationships that started before the contractor was onboarded to Ubique.
How do I convert a contractor to an employee?
From the contractor's profile, choose "Convert to employee". Ubique drafts the employment contract, carries over the start date for seniority where the law allows it, and ends the contractor agreement on the day before the employment starts. In Ubique-run countries it takes about a week. Inês Ferreira's conversion in Portugal, on our home page, took one afternoon of her time.
What does the risk score mean?
Green, amber or red, based on a questionnaire about control, hours, exclusivity, equipment and substitution, weighted for the contractor's country. Green means the relationship looks genuinely independent. Amber means there are signals to fix, and the score lists them. Red means the relationship looks like employment and we recommend conversion. The score is refreshed every six months and whenever you change the contract.
Platform and integrations
Is there a mobile app?
No. Ubique is a responsive web application and works on a phone browser for the common tasks: approving leave, submitting an expense, viewing a payslip. There is no native iOS or Android app and no offline mode. It is on the roadmap, but we have not committed to a date and we would rather tell you that than promise one.
What reporting is available?
Standard reports for headcount, payroll cost by country, leave balances, contractor spend and invoices, each exportable as CSV. There is no custom report builder yet, and no scheduled report delivery. If you need a view we do not have, the API exposes the same data, and your account manager can produce one-off reports on request. A reporting rebuild is in progress for 2027.
Which tools does Ubique connect to?
Twenty-four connectors, including BambooHR, HiBob, Workday, Personio, Rippling and SAP SuccessFactors for HR; Xero, QuickBooks, NetSuite and Sage Intacct for finance; Okta, Google Workspace and Microsoft Entra ID for identity; Slack, Microsoft Teams, Notion and Jira for notifications; and Greenhouse, Lever, Ashby and Workable for recruiting. Can I use SSO?
Yes. SAML SSO with Okta, Google Workspace and Microsoft Entra ID is included on all plans, and MFA is mandatory for every user regardless. Roles and permissions let you give finance, people and managers different views, and SCIM provisioning is available for Okta and Entra ID.

How fast will support reply?
Our target is a human reply within four business hours, measured in the time zone of the person asking. In the last quarter the median was 1 hour 40 minutes and 94 percent of tickets met the target. Payroll-blocking issues are prioritised. Live chat is staffed 08:00 to 18:00 London and 09:00 to 18:00 New York on business days; outside those hours, chat messages become email tickets.
When do I get an account manager?
From ten employees or contractors on the platform, you are assigned a named account manager who knows your team, your countries and your payroll calendar. Below ten, you work with the support team, which has the same access to the local teams. Enterprise plans include a quarterly review with the account manager and the head of payroll.
Why do some countries take longer?
In the 40 countries Ubique runs itself, our own staff do the registration, payroll and support, and timelines are short. In the other 120, a vetted local partner does it, with Ubique coordinating. That adds a hop for every question and usually one to two weeks to onboarding, and off-cycle payments take two to three days instead of one. We say which model applies on every country page, and we review every partner annually.
Where is my data stored, and can I get a DPA?
On AWS in Ireland and Frankfurt. EU and UK personal data stays in the EU and UK. Data is encrypted with AES-256 at rest and TLS 1.2 minimum in transit. Ubique is SOC 2 Type II audited, with ISO 27001 certification in progress, and is GDPR, UK Data Protection Act 2018 and CCPA compliant. The DPA is downloadable at /legal/dpa/.
