Keep your UK or US entity as the employer. Hand us the admin.
You have a company in the UK or the US with a handful of employees and no HR team. Ubique's PEO runs payroll, benefits, HR documents and compliance for that entity, while your company stays the employer on every contract and payslip.
Available for entities registered in the UK or any US state. Quote-based, from 5 employees.
An HR and payroll department you do not have to hire
PEO stands for Professional Employer Organization. In practice it means Ubique's UK and US teams do the recurring work that otherwise lands on a founder, an office manager or the one finance person: payroll, benefits enrolment, HR paperwork and keeping up with rules that change every April and every January.
- Payroll: PAYE and RTI submissions in the UK; federal, state and local withholding, W-2s and quarterly filings in the US
- Benefits: group health, dental and vision in the US; private medical, pension auto-enrolment and life cover in the UK, through partner brokers at group rates
- HR documents: offer letters, employment contracts, handbooks and policies that match UK or state law
- Compliance: right-to-work and I-9 checks, pension auto-enrolment duties, state occupational injury insurance, state registrations when you hire in a new state
- Leave and absence: statutory sick pay, parental leave, FMLA and state leave schemes tracked in the dashboard
- HR support: a named person for the questions a small company gets once and never again, from disciplinary process to a visa expiry
Your entity, your contracts
Employees are employed by your company. Nothing changes on the contract or the payslip when you switch to Ubique, and nothing changes if you later leave.
Group-rate benefits
Through partner brokers, a company of eight can offer health and pension plans normally priced for a company of several hundred. Rates are quoted per plan and shown before you enrol anyone.
One dashboard with everything else
Your PEO employees sit next to your EOR hires and your contractors. Same workflows for expenses, leave and documents.
Which one do you need?
The difference comes down to one question: do you have an entity in that country? If yes, PEO. If no, EOR. Here is what follows from that.
| PEO | EOR (Employer of Record) | |
|---|---|---|
| You need an entity in the country | Yes. PEO works alongside your UK or US company. | No. Ubique's entity employs the person. |
| Legal employer | Your company | Ubique Group Limited or its local subsidiary |
| Name on the contract and payslip | Your company | Ubique, with your company as client |
| Who carries employment liability | Your company, with Ubique managing the process | Ubique, as the employer |
| Countries | UK and US only | 160 countries |
| Payroll taxes and filings | Filed under your entity's registrations by Ubique | Filed under Ubique's registrations |
| Benefits | Group plans through partner brokers, in your company's name | Ubique's standard local package, plus optional add-ons |
| Day-to-day management | You | You |
| Time to start | 2 to 4 weeks to migrate an existing payroll | 2 to 5 business days in Ubique-run countries |
| Pricing | Quoted per employee per month, from 5 employees | From £499 per employee per month |
| Best for | Companies with a small UK or US entity and no HR function | Hiring in a country where you have no entity and do not want one |
Have an entity in Germany or Spain and want to close it? That is a different product: VEO.
Switching takes one payroll cycle
Share your current setup
Payroll registrations, employee list, existing benefits and policies. Ubique reviews them and flags anything out of date, such as a handbook written for a different state.
Parallel run
Ubique runs one payroll alongside your current provider or spreadsheet. You compare the two and sign off.
Benefits enrolment
Employees choose plans in the dashboard. Deductions start on the next payslip. Ubique handles the paperwork with the broker and the carrier.
Steady state
Monthly or bi-weekly payroll, filings on time, HR questions answered within four business hours, new-state registrations when you hire somewhere new.
A typical PEO customer
A European scale-up opens a US entity for sales hires in New York and Texas. Twelve employees, two states, no US HR person. Ubique runs the PEO, and the same company uses EOR for its engineers in Portugal and Poland.
What the PEO does not do
It does not make Ubique the employer, so employment risk stays with your entity. It does not cover countries other than the UK and US. And it does not replace an employment lawyer for a dispute; it does make sure you reach one early.
Leaving is simple
Because your entity is the employer, there is nothing to transfer. Ubique hands over the payroll records and the filings calendar, and you carry on in-house or with another provider.
