Solutions · Hire a candidate who is relocating

Hire the best candidate, even when they need a visa to get there

A sponsored visa normally requires a local employer with a sponsor licence. Ubique already holds that licence in around 30 countries. You make the offer. We handle immigration, the contract and the first payslip.

Visa and immigration assistance is an add-on to Employer of Record. Government fees are passed through at cost.

Decision times depend on the country and the visa route. The Netherlands and Portugal are among the fastest; Canada and Australia the slowest.

The situation

The offer is accepted. The country is the problem.

You interviewed a backend engineer in São Paulo for a role in your Lisbon team. Or a data scientist in Lagos who wants to join your Berlin office. The candidate is ready to move. You have no entity in the destination country, or you have one but no sponsor licence, or the licence exists but your HR team has never used it.

Without sponsorship the candidate cannot legally work on arrival. Without a local employer there is no sponsorship. Companies either give up on the hire or pay an immigration law firm and wait for the entity to catch up.

Ubique closes the loop. Our entity in the destination country is the sponsoring employer. Our immigration team, or a vetted immigration partner where we do not have one in-house, runs the application. You get a start date you can plan around.

What Ubique does

  • Eligibility check against the route and salary threshold
  • Sponsor documents and certificate of sponsorship or equivalent
  • Application preparation and submission for the candidate and dependants
  • Employment contract ready to start on the arrival date
  • Registration with tax and social security on day one

What you do

Confirm the role, the salary and the start date. Sign the offer. Everything else runs in the dashboard, with a status per application.

Not on the list? We will say so before you make the offer. Every country page states whether visa sponsorship is available.

The candidate's experience

They get a named contact and a checklist, not a portal

Relocating is stressful enough without guessing what a document request means. From the moment you confirm the hire, the candidate gets access to a relocation workspace in the Ubique dashboard with one person responsible for their case.

Welcome call within two business days

A walk-through of the route, the documents, the timeline and the questions they are likely to have about family, housing and bank accounts.

Document checklist with statuses

Passport, qualifications, police certificates, proof of funds. The candidate uploads to the document vault, we check and return anything missing within one business day.

Contract signed before departure

The employment contract is signed electronically before they travel, so the start date and salary are locked in and visible to the immigration authority.

Arrival support

Tax number, social security registration, mandatory health insurance and the first payslip on the local payday. Optional: IT equipment shipped to their new address.

Cost

Visa assistance is priced per case and quoted upfront. Government and medical fees are passed through at cost with receipts. There is no charge if the eligibility check says the route will not work.

Dependants

Spouse and children are included in the same application where the route allows it. Most of the countries listed above do.

If the visa is refused

It happens, usually on salary thresholds or documentation. We tell you the reason, whether an appeal is realistic, and whether the person can work from their home country through Ubique in the meantime.

Make the offer. We will get them there.

Tell us the candidate's nationality and the destination. We will confirm the route and timeline on the call.
