Hire, onboard and offboard without a checklist in a spreadsheet

Single dashboard

Every person in one list with country, employment model, start date, cost and status. Filter by entity, manager or country. Switch a contractor to an EOR employee without creating a second record.

Compliant contract generation

Enter role, salary and start date. Ubique produces the employment contract or contractor agreement for that country, in the local language and English, with the clauses the law and the collective agreement require. E-signature included. Amendments use the same flow.

Onboarding workflows

Task lists for the new hire (ID, bank details, tax forms, equipment address), for the manager (tools, first-week plan) and for Ubique (registrations). Deadlines, owners and reminders. Templates per country and per team.

Offboarding workflows

Notice and severance calculated to local rules, final payslip, equipment return, access revocation checklist, and the documents the employee needs for unemployment or their next job. Nothing gets forgotten because someone was on holiday.

Leave management

Statutory entitlements and public holidays loaded per country. Employees request, managers approve, balances update, payroll picks up unpaid leave automatically. Sick and parental leave follow local rules on pay and documentation.

Expense submission and reimbursement

Employees and contractors photograph a receipt, pick a category and submit. Managers approve from the queue. Approved expenses are reimbursed in the next payroll or payment run, taxable or not according to local rules.

Compliance

Changes in the law arrive in your dashboard, with a date

Minimum wages move. Contribution rates change in January. A new leave entitlement passes in one country while a collective agreement renews in another. Ubique's local legal and payroll teams track these in the 40 countries we run ourselves, and our partners feed the rest.

  • Real-time compliance updates: each change appears as a card with the country, the effective date, who it affects in your team and what Ubique is doing about it
  • Document vault: contracts, amendments, payslips, tax statements, IDs and right-to-work evidence, stored per person with retention rules per country. Employees see their own documents; you control who sees the rest
  • Audit log: every change to a salary, a bank account or a contract records who made it, when, and the previous value
  • Data residency: EU and UK data stays in AWS Ireland and Frankfurt. See the security overview

Access

Roles, permissions and SSO

Salaries are sensitive. Permissions are granular enough that a country manager can approve leave and expenses for their team without seeing anyone's pay, and a finance user can see cost by entity without editing a contract.

No mobile app

Responsive web only

There is no iOS or Android app. The web app is responsive and works on a phone for the things people do on a phone: request leave, submit an expense, approve a request, download a payslip. If your team expects a native app with push notifications, we are not there, and we do not currently have a date.

Basic reporting

CSV exports today, report builder on the roadmap

Reporting is a set of standard reports (headcount, cost by country and entity, payroll register, leave balances, contractor spend) plus CSV export of any list you can filter. There is no custom report builder yet. It is on the roadmap, and account managers can set up scheduled exports in the meantime. Finance teams usually pull the CSVs into their own BI tool through the API.
